About the Job
Naturion has an immediate opening for an Accounts Payable and Administrative Specialist to join our team in our Columbia, IL office. We have some exciting projects in the pipeline, with more on the horizon and this position is essential in supporting the company’s growth and operational execution.  The Accounts Payable and Administrative Specialist plays an essential role in ensuring smooth internal operations, process sustainability, and a positive office experience for employees and guests.

What You Will Do & Expected Outcomes
The Accounts Payable and Administrative Specialist will ensure the Columbia, IL office environment is maintained and appropriately resourced to ensure staff members have the appropriate level of workplace tools and supplies. Additionally, this position will work cross-functionally with operational and back-office departments by delivering high-quality deliverables, executing accounts payable workflows, and fulfilling other tasks and/or projects as assigned. The successful Accounts Payable and Administrative Specialist will contribute in the following significant ways:
  • Process invoices & payments, reconcile invoices, monitor expenses, and execute additional duties in support of our accounts payable workflows.
  • Research paid invoices, generate financial reports & statements, and maintain accurate financial records.
  • Facilitate technology, schedule travel, and coordinate logistics for meetings and events.
  • Receive and ship packages for the Columbia, IL office, or as requested from other locations.
  • Manage and facilitate all daily, weekly, monthly, and as needed administrative tasks necessary for proper function of the Columbia, IL office (e.g., answer phone calls, respond to voicemail, sort & distribute mail, monitor resource email inboxes, etc.).
  • Manage breakroom inventory.
  • Check and maintain office supply inventory and order appropriate quantities of supplies as needed.
  • Serve as the primary point of contact for Property Manager, building maintenance, and janitorial vendors for designated offices.
  • Assist in reporting and tracking of cross-functional workstreams (e.g., fleet vehicle monitoring, fixed asset inventory, software license renewal & monitoring, etc.).
  • Execute and fulfill other tasks, workstreams, and projects as assigned.
  • This position reports to the Chief Accounting Officer.

Ideal Candidates
  • Minimum three (3) years of experience in a related field.
  • Diverse educational backgrounds welcome and appreciated.
  • Strong interpersonal, verbal, and written communication skills.
  • Proficiency with Excel and other Microsoft Office software products.
  • Proficient and experience with accounting and accounts payable tools and software.
  • Proven detail orientation and the ability to thrive in a fast-paced environment where multi-tasking is critical.
  • Demonstrated ability to collaborate and work in a cross-functional team environment.
  • Experience developing procedures, monitoring work processes, and adherence to an approved budget.
  • Proven ability to work with third-party vendors and effectively manage those vendor agreements and service agreements.
